Position Overview

To manage the corporate communications component of a strategic, multi-faceted communications program designed to build and strengthen the organization's role and reputation as a leader in its field. As Assistant Director/Corporate Communications Specialist, responsible for managing marketing and internal communications functions for the department, from conception through completion, across multiple lines of business. Responsible for all department administrative functions, including RFPS, Purchase Orders, invoices, and vendor management, etc.

Job Description

  • Supports Director of Corporate Communications in implementation of a communications and brand strategy for the Plan
  • Coordinates the production of multiple internal communications across a wide variety of channels, including staff collateral materials, department promotional campaigns, full-staff email announcements, etc.
  • Coordinates design, development, printing and distribution of marketing flyers, brochures, posters, etc. 
  • Manages editing and updating of marketing materials for multiple lines of businesses
  • Manages translations and typesetting of materials with translation vendor for multiple lines of businesses
  • Manages external vendors, including advertising agencies, graphic designers, and printers, at all stages of development and distribution process 
  • Project manages department’s job progress annually to ensure SLAs are met
  • Performs editorial and QA functions including online research, , fact-check, proofread, etc., for internal and external materials and employee intranet
  • Manages administrative functions and recordkeeping, including HR, Finance and IT paperwork, and Policies and Procedures for the department
  • Prepares Request for Proposals (RFPs) for department 
  • Responsible for PO processes, creating and managing all requisitions 
  • Processes and tracks invoices and payment schedules
  • Manages budgets for each vendor, updating budget trackers as needed
  • Ensures payment to all vendors 
  • Manages department’s annual Summer Intern program  
  • Other duties, as assigned

Minimum Qualifications

  • BA or BS in relevant field
  • 5+ years’ experience in a marketing or communications role required
  • Excellent communication skills
  • Ability to manage multiple projects
  • Proficient in Microsoft Word, Excel, Publisher and Adobe Pro DC, ; proficiency in Photoshop, Illustrator, and InDesign, a plus
  • Knowledge of digital and social media
  • Knowledge of communications trends and practices
  • Superior interpersonal skills
  • Bilingual (ENG/SPN) a plus
