Position Overview 

Selected candidate will oversee MetroPlusHealth Facilities and Production Management. Responsibilities include overseeing all physical plants, company-wide Production Management, as well as the management and reporting of a centralized office supply system. Manages the day to day functions of MetroPlus Health Plan operations including the Mailroom, Copy Center, EAP Fire and Disaster safety preparedness, office maintenance, leases and supplies, OSHA Compliance, HVAC Environmental and Lighting controls, records retention and destruction, office business machines, as well as internal and external office buildouts and moves.

Job Description

  • Handle facility maintenance by completing, arranging for, and supervising minor repairs, painting, lighting or other office needs
  • Manage receipt, organization and distribution of mail and packages across the company ensuring safety, tracking and record keeping of items
  • Manage receipt, tracking and timely production in Copy Center
  • Create, implement, oversee and evaluate process for managing a cost effective document reproduction process including MetroPlus Copy Center, H&H and other vendor services
  • Arrange for and supervise the moving, purchase and repair of office furniture, building supplies and noncomputer business machines
  • Serve as the liaison with building management, H+H and other city agencies with respect to leasing, maintenance and space allocation
  • Coordinate electrical wiring and data cable runs with MIS, vendors and building management
  • Coordinate keys and locks for doors, cubicle, files and offices
  • Coordinate HVAC environmental controls and air quality testing
  • Estimate capital expenditures, and develop proposals for service repairs
  • Oversight of service contracts related to office and equipment maintenance (e.g. supplemental Air conditioning)
  • Schedule and oversee routine and preventive maintenance, cleaning and inspections
  • Oversee maintenance work completed by outside contractors to ensure compliance with contracts
  • Arrange and supervise internal office moves and conference room moves for meetings and events
  • Assess and change employee seating layouts, maintaining accurate office stacking charts with employee seating assignments.
  • Coordinate internal or external construction buildouts
  • Coordinate opening, closing or moving of office facilities
  • Coordinate extermination activities
  • Oversee vermin and other environmentally/safety related policies and procedures from Labor Relations
  • Manage the services unit including main reception, mailroom, package delivery, signage and photocopier management
  • Oversee document storage and on-site document destruction
  • Maintain cleanliness and usability of event collateral (e.g. tents, tablecloths, displays)
  • Fire Safety -EAP Warden for MetroPlus, coordinate disaster preparedness between MetroPlus, Health and Hospitals and emergency management entities.
  • Attend OSHA-Union Compliance and Workplace Violence quarterly meetings
  • Ensure readiness, participate and oversee all facility and security aspects of city, state or federal survey process
  • Create, Implement and update policies and procedures for all areas of responsibility
  • Oversee centralized office supply system for MetroPlus Health Plan
  • Maintain and control ordering and stocking of chemical supplies and PPE
  • Maintain and report departmental dashboard with KPIs
  • Timely reporting of issues and concerns related to facility management
  • Ensure all office space’s timely lease renewals
  • Train personnel in safe work methods and use of equipment and materials
  • Assess staffing needs, organizational structure of department, prepare work schedules and supervise team
  • Continuous process improvement of department implementing efficient, cost saving measures
  • Investigate and manages service and personnel complaints
  • Perform duties of subordinates as needed
  • All other duties as required

Minimum Qualifications

  • A Baccalaureate Degree from an accredited college or university in a relevant field, and
  • Three (3) years of full-time experience which includes experience in an administrative or supervisory capacity in the facilities management or a related field; or
  • A Master’s Degree from an accredited college or university preferred, and
  • Satisfactory equivalent combination of training, education, and experience. Certification or licensure may be required.
